Terms of Service

Effective November 1, 2026

These Terms are an agreement between you and Invoice Anchor Incorporated, a corporation incorporated in Alberta (“InvoiceAnchor”, “we”, “us”), and govern your access to and use of InvoiceAnchor’s invoice and receipt reconciliation software and website (the “Service”). By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.

The Service

InvoiceAnchor helps you reconcile invoices and receipts against vendor and card statements using automated AI processing. You are responsible for the accuracy of the documents you submit and for verifying the results.

Accounts

You must provide accurate registration information, keep your credentials secure, and are responsible for activity under your account. Accounts and invitation links are for your use only—you may not share, sell, or transfer your login, or forward an invitation link to anyone we have not authorized. You must be at least 16 and able to form a binding contract. Two-factor authentication is required.

Acceptable use

Do not misuse the Service: no unlawful content, no infringing or others’ data without authorization, no attempts to breach security, disrupt, reverse engineer, or overload the Service, and no automated abuse.

Your content

You retain ownership of the documents and data you submit. You grant us a limited license to process them solely to provide the Service (including sending them to our AI provider for reconciliation), as described in our Privacy Policy.

No professional advice

Reconciliation output is generated automatically and is provided for informational purposes only. It is not financial, accounting, tax, or legal advice. You are solely responsible for reviewing results and for any decisions you make based on them.

Disclaimer of warranties

The Service is provided “AS IS” and “AS AVAILABLE” without warranties of any kind, whether express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service or its output will be uninterrupted, error-free, or accurate.

Limitation of liability

To the maximum extent permitted by law, InvoiceAnchor and its operators will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, data, or goodwill. Our total liability for any claim relating to the Service will not exceed the amount you paid us in the twelve months before the claim (or, if the Service is provided free, $100 CAD).

Fees, billing and renewal

Plans and prices. InvoiceAnchor is sold as a monthly subscription. Business is $350 CAD per month and includes up to 3,000 documents per month. Multi-Business is $700 CAD per month and includes up to 7,500 documents per month, shared across the five businesses it includes. You can add more businesses to Multi-Business, as described under “Additional businesses” below. All prices and charges are in Canadian dollars (CAD). Sales tax, GST/HST or other taxes are added where we are required to collect them.

Extra documents. A “document” is each invoice, statement or other file we process for you (each file inside a ZIP counts separately). If you process more documents in a month than your plan includes, we keep processing them and charge $0.15 CAD for each extra document, added to your next invoice. We will not stop processing because you are over your included amount. On Business, extra-document charges are capped so that your total for a month never exceeds what the same documents would cost on Multi-Business.

Additional businesses. Multi-Business includes five businesses. You can add more, up to 25 businesses in total. Each additional business is $149 CAD per month, plus tax, adds 1,500 documents per month to your shared allowance and adds 3 user seats. When you add one, we charge the payment method on file at once for the rest of the current billing period (prorated), and from your next renewal we charge the full monthly price, together with your Multi-Business subscription. You will see the exact amount before you confirm. You can remove an additional business yourself from your Multi-Business page, or contact us. The lower price starts at your next renewal, we do not refund the unused part of the billing period, and the businesses, documents and seats your plan includes fall when you remove it; documents above the lower allowance are billed as extra documents. If your plan later covers fewer businesses than you have, your existing businesses and their data stay available, and you cannot add more until your plan covers them.

Billing. We charge the subscription fee through our payment processor, Stripe, to the payment method you provide, at the start of each monthly billing period, and the fee for an additional business when you add it, as described above. Extra-document charges are billed after the period in which the documents were processed, together with your next subscription charge. You authorize us and Stripe to charge your payment method for these amounts.

Automatic renewal. Your subscription renews automatically each month, at the then-current price, until you cancel.

Cancelling. You can cancel at any time under “Manage billing” in Settings, or by emailing [email protected]. Cancellation takes effect at the end of the billing period you have already paid for, and you keep access until then. We do not refund the unused part of a billing period or fees already charged, except where the law requires it or we agree otherwise in writing.

When your subscription or free trial ends. Unless your account is one of the earlier invitation accounts described below, your access to the Service stops when your subscription ends or, if you have not subscribed, when your free trial ends. A subscription can end because you cancelled, because a payment failed and stayed unpaid, or because we ended it under these Terms. We will not process documents or run reconciliations for your account. You can still sign in to subscribe or resubscribe, download your data and delete your account. Documents sent to your InvoiceAnchor inbox address while your access is stopped are not processed and are not saved to your account, so you will need to send them again once you have subscribed.

Free trial for invited accounts. An account opened through an invitation link from us starts with a free trial of 15 days from the day you sign up. If you subscribe during the trial, billing starts when you subscribe. If you do not subscribe by the end of the trial, access stops as described above until you do.

Free trial for accounts opened on our website. An account opened without an invitation link must start a subscription before using the Service. Its first subscription starts with a free trial of 15 days. You enter a payment method when you start the subscription, and nothing is charged during the trial, including for extra documents. When the trial ends, your subscription continues and we charge your payment method for your first month, and then monthly as described under “Billing”, unless you cancel before the trial ends under “Manage billing” in Settings or by emailing us. If you cancel during the trial, you are not charged and your access stops when the trial ends. The free trial is offered once per account and once per payment card. If your account has had a subscription before, there is no free trial and we charge your first month when you subscribe. If the card you enter has already been used for an InvoiceAnchor free trial, the trial does not start: we cancel that subscription right away without charging you, and you can subscribe without a free trial.

Earlier invitation accounts. Accounts opened through an invitation link from us before October 8, 2026 are provided without charge. If you choose to subscribe and later cancel, your account goes back to being provided without charge. We may end this arrangement, or begin charging for these accounts, by giving you at least 30 days’ notice by email; you may cancel at any time.

Price changes. We may change our prices or the amounts a plan includes. We will give you at least 30 days’ notice by email before a change affects you, and you may cancel before it takes effect.

Failed payments. If a payment fails we may try it again and ask you to update your payment method. If it stays unpaid we may suspend or end your access after notifying you. You remain responsible for amounts owed. If you think a charge is wrong, email us first and we will work with you to correct any billing error.

Termination

You may stop using the Service at any time. We may suspend or terminate access for violation of these Terms or to protect the Service. You may delete your documents and records in the app.

Governing law

These Terms are governed by the laws of the Province of Alberta and the federal laws of Canada that apply there, without regard to conflict-of-laws rules.

Changes

We may update these Terms; continued use after changes means you accept them. We’ll revise the effective date above.
